This role serves as the main point of contact, providing a warm and premium experience for all clinic visitors. They manage the front desk by handling appointments and answering patient inquiries via phone, email, and messaging. Overall, the role ensures high patient satisfaction while keeping daily clinic operations running smoothly. This role is suited for a professional who has worked in reputable clinics and is capable of delivering a seamless, polished front-desk operation.

Role & Responsibilities:   

• Reception & hospitality: Welcome patients and visitors warmly in Arabic and English, ensuring a courteous, professional, and comfortable front-of-house experience.
• Appointment management: Schedule, confirm, reschedule, and follow up on appointments using the clinic booking system; manage the daily calendar to minimise wait times and gaps.
• Communications: Answer incoming calls, WhatsApp/social messages, and emails promptly; respond to enquiries about services, pricing, and availability, and route matters to the right team member.
• Patient registration: Register new patients, verify personal and insurance details, and maintain accurate, confidential records in the clinic management system.
• Billing support: Process payments, issue invoices and receipts, handle deposits, and reconcile the daily cash/card float.
• Coordination: Coordinate with clinical staff on patient flow, notify practitioners of arrivals, and manage the waiting area.
• Front desk upkeep: Keep the reception and waiting areas clean, presentable, and well-stocked with forms and marketing materials.
• Administration: Support light administrative tasks — filing, follow-up reminders, feedback collection, and assisting with promotions or campaigns as needed.
