Job Description: Executive Officer / Office Manager to the Deputy CEO & ELT
Position Overview
Acting as the right hand and shadow to the Deputy CEO, this role is central to the smooth functioning of the Executive Leadership Team (ELT) and the Senior Leadership Team (SLT) reporting into the Deputy CEO. The Executive Officer will ensure that the Deputy CEO’s office runs seamlessly, priorities are tracked, and communication flows effectively across the organization.
This is not a traditional admin role — it is about being the coordination hub and trusted partner to the Deputy CEO, ensuring that decisions, follow-ups, and initiatives are carried through with precision. The ideal candidate will bring a consultancy-style mindset — structured, analytical in thinking (able to read and understand reports), and highly skilled at stakeholder management. They will be obsessively organized, emotionally intelligent, and capable of managing relationships across diverse personalities.
Key Responsibilities
Executive & Office Management
- Act as the Deputy CEO’s shadow and right hand, ensuring alignment on priorities and commitments.
- Manage the Deputy CEO’s calendar, travel, and daily priorities with discretion and efficiency.
- Track and follow up on deliverables, deadlines, and commitments of ELT and SLT members.
- Prepare meeting agendas, capture and circulate minutes of meetings (Arabic & English), and ensure timely follow-up.
- Maintain trackers and dashboards to monitor projects and leadership commitments.
Communication & Coordination
- Draft and manage professional correspondence (emails, memos, presentations) in both English and Arabic.
- Act as liaison between the Deputy CEO, the Executive Leadership Team (ELT), the Senior Leadership Team (SLT), and external stakeholders.
- Read and understand business reports, extracting key points for the Deputy CEO.
- Consolidate updates from ELT/SLT into concise summaries and executive notes.
People & Culture
- Build strong working relationships across all functions, acting as a bridge between the Deputy CEO and diverse personalities.
- Demonstrate strong emotional intelligence — including conflict management, empathy, and the ability to adapt communication style to different stakeholders.
- Represent the Deputy CEO’s office with professionalism and cultural sensitivity.
Administrative Support
- Ensure office operations and documentation are organized and accessible.
- Manage expenses, budgets, and general admin tasks related to the Deputy CEO’s office.
- Coordinate logistics for meetings, workshops, and leadership offsites.
Growth & Development
- Gain exposure to senior decision-making and organizational transformation.
- Develop skills in executive coordination, leadership communication, and organizational management.
