Sales Secretary – Refreshment Trading Co.

We are looking for a highly organized and detail-oriented Sales Secretary to join our dynamic team in the industrial production sector. This role requires a candidate who is proficient in Arabic, as you will be working closely with the sales team and interacting with clients in both English and Arabic. The ideal candidate will play a crucial role in supporting the sales department by managing administrative tasks, streamlining communication, and ensuring that our sales processes operate efficiently. This position demands strong multitasking abilities and a proactive approach to problem-solving. As a Sales Secretary, you will be the backbone of our sales operations, providing essential support that allows our sales team to focus on driving revenue and building client relationships.

Responsibilities:

  1. Manage and coordinate the scheduling of meetings, appointments, and travel arrangements for the sales team, ensuring optimal time management.
  2. Prepare and maintain sales reports, presentations, and other documentation to assist the sales team in achieving their targets.
  3. Facilitate communication between the sales team and clients, responding to inquiries and providing information as needed in both Arabic and English.
  4. Assist in the preparation of proposals and contracts, ensuring that all documentation is accurate and submitted in a timely manner.
  5. Maintain an organized filing system for all sales-related documents, ensuring easy retrieval and compliance with company policies.
  6. Support the sales team with administrative tasks, including data entry, order processing, and inventory management.
  7. Conduct market research and gather competitive intelligence to support sales strategies and initiatives.
  8. Coordinate with other departments, such as marketing and finance, to ensure alignment and support for sales activities.
  9. Monitor and manage office supplies and equipment, ensuring that the sales team has the necessary resources to operate efficiently.
  10. Participate in training and development programs to enhance skills and knowledge relevant to the sales function.

Preferred Candidate:

  1. Proven experience in a sales support or administrative role, preferably within the industrial production sector.
  2. Exceptional organizational skills with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  3. Strong verbal and written communication skills in both Arabic and English, with the ability to interact professionally with clients and team members.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software to manage sales data effectively.
  5. A proactive and adaptable mindset, capable of problem-solving and taking initiative in a fast-paced environment.
  6. Ability to maintain confidentiality and handle sensitive information with discretion.
  7. Strong interpersonal skills and the ability to work collaboratively within a team.
  8. Time management skills, with the ability to prioritize tasks and meet deadlines consistently.
  9. Familiarity with sales processes and terminology, providing a solid foundation for supporting the sales team.
