Sales Secretary – Refreshment Trading Co.
We are looking for a highly organized and detail-oriented Sales Secretary to join our dynamic team in the industrial production sector. This role requires a candidate who is proficient in Arabic, as you will be working closely with the sales team and interacting with clients in both English and Arabic. The ideal candidate will play a crucial role in supporting the sales department by managing administrative tasks, streamlining communication, and ensuring that our sales processes operate efficiently. This position demands strong multitasking abilities and a proactive approach to problem-solving. As a Sales Secretary, you will be the backbone of our sales operations, providing essential support that allows our sales team to focus on driving revenue and building client relationships.
Responsibilities:
- Manage and coordinate the scheduling of meetings, appointments, and travel arrangements for the sales team, ensuring optimal time management.
- Prepare and maintain sales reports, presentations, and other documentation to assist the sales team in achieving their targets.
- Facilitate communication between the sales team and clients, responding to inquiries and providing information as needed in both Arabic and English.
- Assist in the preparation of proposals and contracts, ensuring that all documentation is accurate and submitted in a timely manner.
- Maintain an organized filing system for all sales-related documents, ensuring easy retrieval and compliance with company policies.
- Support the sales team with administrative tasks, including data entry, order processing, and inventory management.
- Conduct market research and gather competitive intelligence to support sales strategies and initiatives.
- Coordinate with other departments, such as marketing and finance, to ensure alignment and support for sales activities.
- Monitor and manage office supplies and equipment, ensuring that the sales team has the necessary resources to operate efficiently.
- Participate in training and development programs to enhance skills and knowledge relevant to the sales function.
Preferred Candidate:
- Proven experience in a sales support or administrative role, preferably within the industrial production sector.
- Exceptional organizational skills with a keen attention to detail and the ability to manage multiple tasks simultaneously.
- Strong verbal and written communication skills in both Arabic and English, with the ability to interact professionally with clients and team members.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software to manage sales data effectively.
- A proactive and adaptable mindset, capable of problem-solving and taking initiative in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work collaboratively within a team.
- Time management skills, with the ability to prioritize tasks and meet deadlines consistently.
- Familiarity with sales processes and terminology, providing a solid foundation for supporting the sales team.
