Receptionist

The Receptionist & Office Support Coordinator will be the first point of contact for visitors and callers, ensuring a professional and welcoming front-desk experience. In addition, this role will be responsible for overseeing the performance and scheduling of drivers and pantry staff to ensure smooth daily operations across the office.

Roles & Responsibilities:

Front Office Management

  • Welcome, greet, and assist visitors, ensuring a professional and courteous environment.
  • Answer and direct incoming calls and emails promptly and professionally.
  • Manage reception area cleanliness, supplies, and appearance.
  • Handle incoming and outgoing mail, courier services, and deliveries.

Administrative Support

  • Support office management tasks such as booking meeting rooms, coordinating appointments, and assisting with events.
  • Maintain visitor logs, access cards, and office security protocols.
  • Assist in the procurement of office supplies and ensure stock levels are maintained.

Staff Supervision – Drivers & Pantry

  • Assign daily duties, schedules, and routes for drivers to ensure efficient transportation support.
  • Monitor driver compliance with safety, vehicle maintenance, and company policies.
  • Supervise pantry staff to ensure meeting rooms, kitchen, and refreshments are maintained to a high standard.
  • Conduct regular check-ins to ensure service quality and staff adherence to duties.
  • Handle leave requests, shift planning, and basic performance tracking for drivers and pantry personnel.

Other Responsibilities

  • Escalate maintenance or facilities issues to the relevant department.
  • Provide general administrative assistance to the COO
  • Maintain a professional company image at all times.
