Operations & Production Coordinator – PROCAPITA Management Consulting

We are looking for a highly organized and detail-oriented Admin, Bookkeeping & Production Coordinator to manage administrative tasks, maintain financial records, and support production operations. This role plays a key part in ensuring smooth daily workflows and effective coordination between the team, vendors, and clients.

Key Responsibilities:

Administrative & Operations

  • Manage brand email communications and customer inquiries.
  • Process and update online orders, including website updates.
  • Track staff attendance, leaves, holidays, and overtime.
  • Coordinate deliveries and purchases with the driver.

Bookkeeping & Finance

  • Monitor bank transactions and record expenses.
  • Reconcile sales reports (daily/weekly/monthly).
  • Handle petty cash and vendor payments.
  • Maintain up-to-date expenditure records.
  • Generate client invoices.

Production Coordination

  • Liaise with craftspeople to assign orders and monitor timelines.
  • Document production details for each client order.
  • Prepare delivery notes and ensure timely dispatch.
  • Track inventory levels and material requirements.
