We are seeking a proactive and versatile Front Desk / Administrator to manage front desk operations and administrative duties. This individual will be the first point of contact for clients, while also ensuring smooth coordination between practitioners, management, and external service providers.
Key Responsibilities
Client-Facing & Front Desk
- Welcome and support clients with warmth and professionalism.
- Handle inquiries via phone, WhatsApp, Instagram, and email in a timely manner.
- Manage bookings, cancellations, and rescheduling through CRM and scheduling systems.
- Ensure Qawam’s brand tone and service standards are reflected in every client interaction.
Administrative & Operational
- Oversee day-to-day administrative tasks required for the smooth operation of the center.
- Collect and organize data to prepare weekly and monthly reports for management.
- Ensure SOPs (Standard Operating Procedures) are followed by front desk and support staff.
- Support inventory management, procurement, and vendor coordination.
Contractor & Vendor Coordination
- Source, evaluate, and liaise with contractors or freelancers (e.g., marketing, photography, IT support).
- Monitor service delivery and negotiate terms to ensure quality and timely execution.
Management & Project Support
- Assist in internal team meetings, documenting action items and ensuring follow-ups.
- Help identify gaps in operations and propose solutions.
- Support special projects such as marketing campaigns, events, and process improvements.
